Privacy policy

This privacy policy explains how PadPrinters Medical collects, uses, stores and protects personal information when you submit an enquiry or deal with us. It applies to our work from Westmead, Pinetown and to clients across South Africa, including Durban, Johannesburg, Cape Town, Pretoria and Gqeberha.

1. About PadPrinters and this policy’s scope

PadPrinters Medical, based in Westmead, Pinetown, provides pad printing services for medical and electronic components. We act as an operator through Astros Marketing (Pty) Ltd for the purpose of handling personal information collected through the contact page enquiry form and related business communication.

This policy explains how we handle personal information under the Protection of Personal Information Act, 2013, commonly called POPIA. It applies to enquiries about artwork preparation, logo redraws, print area planning, colour matching, adhesion test samples, plate exposure, plate etching, fixture making, trial sample runs, curing method selection, rerun job control and dispatch packing.

2. Information we collect through enquiries

We collect only information that is needed to respond to your enquiry, assess a print job and manage the working relationship. This may include names, business details, contact details, job specifications, artwork files, component images and any notes you provide about the product, substrate or required marking position.

  • Contact information submitted through the enquiry form
  • Business and project details relevant to the print request
  • Artwork, layout files and reference images
  • Communication records relating to quotes, samples and job instructions
  • Technical notes for print setup, curing and rerun control

Where you share information about medical or electronic components, you remain responsible for ensuring that your product meets all applicable compliance, labelling and device requirements.

3. How we use your information for medical parts

We use personal information to answer enquiries, prepare quotations where requested, plan print areas, assess adhesion, arrange samples and carry out approved work. In some cases, we may also use the information to manage dispatch, confirm reruns or resolve a technical issue with a repeat job.

Pad printing on medical and electronic parts may require close attention to substrate type, ink behaviour, pad transfer, drying and curing. We use the information you provide to handle those practical details, but we do not take over your responsibility for product compliance or any regulatory approval that may apply to your device or component.

  • Responding to enquiry form submissions
  • Preparing and managing print jobs
  • Keeping internal production and quality records
  • Confirming delivery and dispatch arrangements
  • Protecting against misuse, fraud or unauthorised access

4. Storage, sharing and retention

We store information in a manner that is reasonably appropriate to the nature of the information and the risks involved. Access is limited to staff members who need the information to do their work, including production, artwork, quality control and client services.

We may share information with service providers who assist with administration, file handling, communications, hosting or secure storage, but only where it is necessary for business operations and subject to appropriate safeguards. We do not sell personal information.

  • Information is kept for as long as needed for the purpose it was collected for
  • Some records may be retained longer where required for legal, tax or business reasons
  • Artwork and job records may be retained to support later reorders and rerun control

5. Client rights over personal information

Under applicable law, you may exercise rights over your personal information. You may ask us to confirm whether we hold your information, request access to it, seek correction of incorrect details or object to certain processing where the law allows.

If you have concerns about how we handle your information, you may raise them through the contact page form. We may need to verify your identity before acting on a request, especially where the request involves business records or technical job files.

  • Access to personal information we hold about you
  • Correction of incorrect or outdated information
  • Objection to certain processing where lawful
  • Consent withdrawal where processing relied on it

If our website uses cookies or similar tools, they are used for basic site function, usage analysis or form handling as needed. You can control cookies through your browser settings, although some features may not work properly if cookies are disabled.

We use reasonable technical and organisational safeguards to help protect personal information from loss, unauthorised access, misuse or alteration.
